Job Purpose
The Health Center Receptionist is the first point of contact for Saulteau First Nations (SFN) community members visiting or calling the Health Center. The Receptionist provides general administrative support, books appointments, and ensures the clinic is safe, tidy, and well maintained. This position supports the delivery of services that contribute to and enhance the health and well-being of the SFN’s children, elders, and families.
Duties and Responsibilities
Front Desk Reception:
- Answers incoming calls, provides information and responds to basic inquiries.
- Directs callers and takes messages as required.
- Greets visitors, clients and community members and ensures their comfort.
- Books appointments for various practitioners including attending Doctor and foot care appointments.
- Ensures that the reception area is tidy and welcoming.
- Maintains various electronic and paper filing systems.
- Ensures fresh coffee and water is available in the morning and throughout the day.
- Ensures tidiness and safety of front walkway by sweeping and shoveling.
- Coordinates required building maintenance.
- Distributes mail, faxes and emails that come into the general mailbox.
- Organizes outgoing couriers and mail.
- Maintains event binder for health center community events.
Administrative Support:
- Assists the Manager of Health in the completion of grant proposals, preparing within a template for review and customization.
- Provides administrative support to the Director of Health including budget input, filing, invoicing, shopping for supplies for the center and other duties as assigned.
- Participates in staff meetings and SFN sponsored community events.
- Orders stationery and other office supplies including coffee, kitchen and bathroom supplies for Health Center and verifies orders are received and correct.
- Maintains office equipment. Ensures copier is loaded with paper and toner is changed as required.
- Coordinates office recycling.
- Books rooms and assists with preparation for Health center meetings and events.
- Sends out agendas, notifications, and documents for staff meetings. Takes meeting minutes and distributes.
Qualifications and Skills
- High School Diploma with 1-2 years prior experience in office administration, ideally within a health-related capacity.
- Preference to Business Administration Diploma
- Valid class 5 B.C. driver’s license.
Work Conditions
- Work is performed primarily in the office with hours of work set as 8:00 a.m. to 4:30 p.m. Monday through Thursdays.
- Travel may be required within SFN community and surrounding community.
- Manual dexterity required to use desktop computer and peripherals.
